AI Enablement for small and mid-size businesses

What it is: a twelve-week program that gets a team using AI in its day-to-day work. We audit where the team's hours go, pilot AI on one workflow against a measured baseline, train people by role, and hand over a working process with a named owner.

Who it's for

Companies that want AI results but have no one whose job it is.

The program is built for small and mid-size businesses without a dedicated AI, data or IT team. It fits when any of these sound familiar:

  • You pay for AI tools, but few people use them in real work.
  • Everyone experiments on their own, and nothing is shared or repeated.
  • There's no agreed rule on what company data can go into which AI tools.
  • Leadership wants results from AI, but it sits behind every other priority.
  • The same documents, emails or reports get retyped by hand every week.

The program

Twelve weeks, four phases, one workflow at a time.

Weeks 1–2

Opportunity audit

We find where AI will pay off before anything gets bought or built.

  • Short interviews with the people who do the work, not just their managers
  • A map of recurring tasks and where the hours go
  • The three highest-return AI opportunities, ranked by return and effort
  • A build-or-buy recommendation and an estimate for each
Deliverable: ranked opportunity report, yours to keep
Weeks 3–6

Pilot one workflow

We prove the result on real work before rolling anything out.

  • A baseline taken before anything changes: time per task, cost per unit, cycle time
  • Off-the-shelf tools configured, or the narrowest custom tool built
  • One team, one process, real documents and data
  • Weekly check-ins to fix what isn't working
Deliverable: working pilot and baseline numbers
Weeks 7–10

Train and roll out

We make the new way of working stick beyond the pilot team.

  • Hands-on training by role, using each person's own tasks
  • Written playbooks and a shared prompt library
  • A plain-language AI use policy: approved tools, what data can go where, and who reviews output
  • Internal champions who can answer day-to-day questions
Deliverable: playbooks, AI use policy, trained champions
Weeks 11–12

Measure and hand over

We show what changed and leave you able to run it without us.

  • Results compared against the week-three baseline
  • Fixes for anything that isn't sticking
  • Ownership handed to a named person on your team
  • A plan for the next workflow
Deliverable: results review and a 90-day roadmap

Measurement

What we measure

Hours returnedTime per task, before and after
Cost per unitPer listing, order, invoice or ticket
Cycle timeFrom request to done
AdoptionWho uses it in week 12, not week 1

Starting points

Where we usually start

  • Quotes, purchase orders and invoices retyped by hand into another system
  • Product listings and images prepared for several marketplaces
  • Customer email and support replies
  • Sales follow-up, proposals and CRM hygiene
  • Weekly reports pulled together from spreadsheets

If the best fix needs software that doesn't exist yet, it can move into a custom AI build.

Your side

What we need from you

  • A sponsor in leadership who wants the result
  • A named owner for the workflow, who takes it over at handover
  • Access to the people who do the work, and to the tools and documents they use

Questions

AI Enablement FAQ

How long does the AI Enablement program take?

Twelve weeks: a two-week opportunity audit, a four-week pilot on one workflow, four weeks of training and rollout, and two weeks to measure results and hand over.

Can we buy just the audit?

Yes. The two-week AI opportunity audit is a fixed-fee engagement on its own. You keep the report whatever you decide next.

Do we need clean data or an IT team before we start?

No. The audit tells you what data you have and whether it's good enough for the first workflow. Most first projects run on documents, spreadsheets and email you already have.

We already pay for AI tools. Why hasn't anything changed?

Usually because nobody changed the process around the tool or trained people on their actual tasks. The program fixes both: one workflow is redesigned around the tool, and people are trained on their own work.

What happens to our data?

Every engagement includes a written AI use policy covering what can go into which tools, who reviews output, and where data is stored. Custom builds run in your accounts wherever possible.

What if the right answer is an off-the-shelf tool?

Then that's what the audit report recommends. We rank off-the-shelf options alongside custom builds and only recommend building when nothing on the market fits.

What happens after week twelve?

A named person on your team owns the workflow, with a 90-day roadmap for the next one. If you want continued support, a month-to-month retainer is available, with no long lock-in.

Start with the two-week audit.

Tell us which work eats your team's week. We'll tell you whether AI can help, and what it would take.
